
Before you move anything: QuickBooks Desktop users are being pushed toward cloud accounting, but the best replacement depends on how your business actually works. Inventory, payroll, multiple currencies, number of users, reporting, integrations and historical data can all change the answer.
QuickBooks Online
Worth considering if: you want to remain in the QuickBooks family and preserve a familiar accounting approach.
Strengths: bank feeds, VAT, invoicing, reporting, accountant access, multi-currency and inventory on higher plans.
Watch: Online is not simply Desktop in a browser. Some workflows and features differ, so check the functions you currently rely on before migrating.
Migration: Intuit supports South African migration from Desktop, although its automated Desktop migration process has recently been undergoing changes and CSV migration remains available.

Worth considering if: you want a mature cloud platform with strong bank reconciliation, reporting and a large integration ecosystem.
Strengths: unlimited users on core plans, bank reconciliation, bills, invoices, reporting and multi-currency on Premium.
Watch: Starter limits invoice and bill volumes, and advanced requirements may push you into higher plans or add-ons.
Migration: Xero South Africa promotes conversion services for businesses moving from other systems, including QuickBooks.

Worth considering if: price matters, or you want accounting tightly connected with a wider suite of business tools.
Strengths: a free plan, low-cost paid plans, VAT features, bank feeds, automation, projects and inventory from the Professional plan upward.
Watch: decide whether you want Zoho Books alone or are deliberately buying into the larger Zoho ecosystem.
Migration: Zoho provides CSV, TSV and spreadsheet import facilities for accounting data. The migration path from QuickBooks Desktop may require more preparation than a direct conversion service.

Sage Accounting
Worth considering if: you prefer a long-established accounting brand with a strong South African presence and local VAT/accounting orientation.
Strengths: invoicing, bank reconciliation, VAT, reporting, multiple users on Standard and optional inventory and other modules.
Watch: some capabilities are paid add-ons, so compare the total configuration you need rather than only the entry price.
Migration: Sage can import master data, but the amount of historical transactional information that can be moved depends on the Sage product and migration method selected.

Which one should you choose?
There is no automatic winner. A consultant with a few invoices a month has a very different requirement from a wholesaler with inventory, multiple users and years of QuickBooks history. The sensible sequence is: understand your present system, identify the functions you genuinely use, decide what history must move, then compare the products.
